❄️ Rules of the “Christmas Trees Full of Dreams” campaign for families submitting children’s wishes 🇬🇧

1. Introduction

The goal of the “Trees Full of Dreams” campaign is to support children from families in difficult life situations by fulfilling their Christmas wishes. The campaign aims to collect applications for assistance and to engage donors who will help make children’s dreams come true.

2. Definition of Referring Institution

Referring institutions include Social Welfare Centers from the Warsaw metropolitan area and Garwolin County, County or Municipal Family Assistance Centers, as well as other centers providing long-term or emergency accommodation for parents with children or for unaccompanied children, and foundations or non-governmental organizations supporting families in difficult life situations residing in the Warsaw metropolitan area and Garwolin County.

The Warsaw metropolitan area is understood as the capital region including the city of Warsaw and the surrounding counties: Legionowo, Mińsk, Otwock, Wołomin, Grodzisk, Nowy Dwór, Piaseczno, Pruszków, and Warsaw West County.

4. Definitions

4.1. Organizer – Kwitnący Dom, a unit of the Inna Przestrzeń Foundation, responsible for coordinating the campaign.

4.2. Family – individuals registered for participation in the campaign, living in one household, including: a parent or legal guardian, their partner, and all children (biological, adopted, foster children, or children of the partner) and grandchildren under the permanent legal care of the adults mentioned, whose life situation has been assessed and approved for participation by the Referring Institution.

4.3. Donor – a natural person or company that decides to purchase a gift for a child based on the submitted application.

4.4. Gift – an item worth up to 150 PLN, to be given to the child according to the rules described in the regulations.

5. Participation in the Campaign

5.1. Families invited by staff members of the Referring Institution from the Warsaw metropolitan area and Garwolin County may participate in the campaign.

5.2. Submitting an application is only a request for assistance and does not oblige the Organizer to provide support.

5.3. Participation in the campaign is completely free of charge and involves no costs or financial obligations.

5.4. To ensure fairness in gift distribution and proper care for children’s well-being, it is recommended to register all eligible children from a family, including biological, adopted, foster, or partner’s children living in the same household.

5.5. To apply, it is necessary to complete an online form, entering the code received from a Referring Institution staff member. In exceptional cases, paper forms may be provided.

5.6. Staff of the Referring Institution do not have access to the contents of the submitted applications — they are sent directly to the Organizer. The Referring Institution does not process any data or applications — only the Organizer does.

5.7. The Organizer may consult the Referring Institution regarding submitted applications and the family’s situation.

5.8. Families submitted must remain under the care of the Referring Institution.

5.9. Children eligible for participation are those who will not have reached 18 years of age by Christmas Eve or, in the case of children with a certified severe disability (first degree), up to 24 years of age.

5.10. Participation in the campaign does not guarantee the receipt of a gift; therefore, it is recommended to maintain communication with the child in the spirit of a “letter to Santa Claus,” whose dream may be fulfilled.

5.11. No documents are required to apply unless the Organizer initiates verification; in such case, information on necessary documents will be provided.

5.12. To collect the gift, a guardian must present an ID document and a document confirming custody over the registered child (e.g., a birth certificate).

6. Gifts

6.1. Gifts must be material or non-material items that cannot be exchanged for cash. Gift vouchers, gift cards, or other forms of payment are prohibited. Vouchers for cinema tickets, gym memberships, and similar non-monetary services are allowed.

6.2. The value of each gift must not exceed 150 PLN to maintain fairness among all participating children.

6.3. Gifts must be intended directly for children, not for adult family members. Items such as household appliances (e.g., vacuum cleaners) are not considered appropriate gifts for children unless a justified and verifiable explanation is provided.

6.4. For infants and young children, acceptable gifts include hygiene products (e.g., diapers, wet wipes) and food items (e.g., infant formula, baby cereals, baby food jars).

6.5. Gifts must be appropriate for the child’s age according to the information provided in the application. Submissions with gifts unsuitable for the child’s age (e.g., a watch for a newborn) will be rejected.

6.6. The final decision on whether a gift is appropriate for the child rests with the parent or legal guardian. The Organizer may consult with parents regarding the choice of gift.

6.7. For safety and ethical reasons, the following items are prohibited:

  • Medicines and dietary supplements,

  • Alcohol, tobacco products, and other intoxicants,

  • Materials containing violence, erotica, or promoting aggression,

  • Weapons and materials that could pose a threat to health or life.

6.8. Gift descriptions should be precise but not overly detailed. An appropriate example: “wireless speaker.” Descriptions specifying particular brands or models (e.g., “Brand X model Y speaker”) may complicate the realization.

6.9. Gifts should not promote an unhealthy lifestyle, aggression, or encourage inappropriate behavior or values.

6.10. The Organizer encourages donors to provide new products purchased specifically for this campaign. However, the Organizer is not responsible for the gifts received. Therefore, parents are advised to thoroughly check each gift before giving it to the child.

6.11. An application may be rejected in particular cases, including:

  • Failure to provide all required data,

  • Participant’s age not meeting the criteria,

  • Gifts inconsistent with the campaign rules,

  • Duplicate submissions,

  • Providing an incorrect code (received from the Referring Institution’s staff).

6.12. The Organizer also reserves the right to reject applications without providing a reason.

7. Collection of Gifts

7.1. Gifts will be distributed during an event at the Referring Institution or by its staff. The date will be communicated by the Institution’s staff or the Organizer. The gift will be collected by the guardian who submitted the family’s application.

7.2. Upon collection of the gifts, the Organizer will collect a confirmation including the guardian’s name and surname (matching the application), PESEL number, and the recipient’s signature.

7.3. At the time of gift collection, the Organizer will require an ID document and a document confirming custody of the registered child (e.g., birth certificate).

7.4. A parent or legal guardian of the registered child may appoint an authorized person to collect the gifts. Collection through a proxy is only allowed if the parent or guardian cannot personally collect the gifts due to disability, hospitalization, or the need to care for an ill family member. The proxy must be an adult.

7.5. In such cases, a written authorization must be submitted in the presence of the Referring Institution’s staff no later than 3 business days before the scheduled gift collection date. The authorization must include the proxy’s full name and ID number.

8. Personal Data and Consent to Publication

8.1. Participants agree to the publication of the child’s name, age, and wish in the Organizer’s promotional materials.

8.2. By completing the “Would you like to tell us your story?” field in the form, the participant consents to its publication (in anonymized form) and its use for marketing purposes of the campaign.

8.3. All families and donors participating in the campaign remain anonymous. The list of donors will be published without indicating which specific wishes they fulfilled. The distribution of gifts is carried out solely through the Organizer, ensuring confidentiality and privacy protection for all participants.

8.4. During the distribution of gifts, photographs may be taken, and participants receiving gifts may appear in them. The Organizer will make efforts not to display recognizable individuals, but is obligated to confirm the distribution of all gifts to donors.

8.5. Participation in the gift distribution event implies acceptance of the possibility of appearing in the Organizer’s photographs and other materials.

9. Criteria for Application Acceptance

9.1. The Organizer will not apply any criteria based on the severity of the family’s life situation. It is accepted that families unable to independently purchase gifts for their children can participate, and the invitation by the Referring Institution confirms this fact.

9.2. Children who are registered for other charitable actions (such as “Noble Gift”, “Santa Claus in the Crown”, etc.) where they would receive Christmas or holiday gifts cannot participate.

9.3. If a family is accepted into another charitable program after registering for “Trees Full of Dreams,” they must choose in which campaign they wish to participate and, if choosing the other, must inform the Organizer at: cpm@kwitnacy-dom.pl about their resignation from “Trees Full of Dreams.”

9.4. If some children from a family participate in another action and others do not, the children who are not participating elsewhere may still be registered for “Trees Full of Dreams.”

9.5. Applications will be added to the campaign and assigned to donors in order of submission, with particular care to ensure complete gift sets for all children from the same family.

9.6. Families whose children will receive gifts through the campaign will be informed about collection details in December.

10. Final Provisions

10.1. Submitting an application does not guarantee receiving a gift. The Organizer will make every effort to fulfill as many wishes as possible, but the number of donors may be limited.

10.2. The Organizer will make all efforts to ensure the proper conduct of the campaign but does not bear responsibility for random events or issues arising from the donors’ side.

10.3. The Organizer does not require participants to provide detailed descriptions of their life situations or other information, beyond what is necessary for the campaign and indicated in the application form.

10.4. Participation in this campaign does not exclude the possibility of participating in other activities organized by the Organizer. Families who benefited from this initiative may also apply for assistance in other programs.

10.5. Families submitting applications agree to comply with the rules of these regulations.

10.6. The Organizer does not foresee the possibility of submitting complaints or claims regarding the course of the campaign or the quality of the gifts received.

10.7. The Organizer reserves the right to amend the regulations if necessary for the proper implementation of the campaign. All changes will be published on the campaign’s website.
