1.Company Registration and Campaign Organization

How can we register our company to participate in the campaign?

Registering your company for the “Christmas Trees Full of Dreams” campaign is very simple and can be done in several ways.
The easiest method is to fill out the online form available on our website.
You can also contact us via email by sending a message to aklos@innaprzestrzen.pl. It’s helpful to include basic information such as your company name, the number of employees, and an initial estimate of how many baubles you would like.

Alternatively, you can call us directly at +48 796 401 236 to speak with the project coordinator.

After registering, we will arrange the details regarding the number of baubles, your preferred start date for the campaign, and any other logistical matters related to your participation.

Please note that company registrations open on May 1, which allows us to plan properly and prepare the required number of baubles in time.
In your registration, you can also indicate whether your company is based in Poland or abroad, as we adapt logistics accordingly.
If your company is located outside of Poland, the campaign can be conducted remotely, and the gifts can be delivered by courier.

In every case, we strive to make the registration and participation process as easy as possible so that every company can join this wonderful cause.
This way, companies can focus on team integration and, most importantly, on fulfilling the dreams of children who are often overlooked by other charitable initiatives.

Are there any costs associated with a company's participation in the campaign?

There are some costs associated with participating in the “Christmas Trees Full of Dreams” campaign, but they are neither high nor complicated.

The main expenses involve the purchase of gifts by employees to fulfill the children’s dreams written on the baubles.
Each bauble represents one child’s wish, and the value of each gift should not exceed 150 PLN per bauble.

Additional costs for companies may include the delivery of gifts to us.
If a company decides to send the presents by courier, there may be a shipping fee, especially if the number of gifts is large. The cost depends on the shipment’s size and location, but even the courier delivery of a large number of gifts (even on pallets) is generally cheaper than organizing many other charitable campaigns.

For companies located abroad, we recommend collecting and transferring financial donations rather than sending physical gifts, as international shipments can be costly and risk delays—especially during the busy pre-Christmas season. Donations allow us to purchase the gifts locally, ensuring timely delivery and minimizing any logistical issues.

Apart from these direct costs, there are no additional participation fees.
We do not charge for the baubles or for a company’s involvement in the campaign.
All contributions made for gifts or shipping are fully allocated toward fulfilling the dreams of children who need support.

Thus, companies can confidently participate, knowing that every financial effort goes directly to a meaningful cause without hidden costs.

How many baubles should we order relative to the number of employees?

The optimal number of baubles a company should order depends on how many employees are likely to get involved.
We recommend ordering a number of baubles equivalent to around 20–30% of your total number of employees.
This ratio encourages broad participation while ensuring the campaign remains manageable for both the company and its staff.

Of course, each company can adjust the number of baubles according to its preferences and capabilities. If the team is smaller, you might order fewer baubles; larger companies can request more—as long as they are confident that all the baubles will be chosen and the gifts delivered on time.

The number of baubles can also depend on the financial preferences of the employees, as each gift should have a maximum value of 100 PLN.
It’s worth considering whether the company would like to offer every employee a chance to participate, or just a portion of the team.

The decision on the number of baubles should be carefully thought through, because the goal of the campaign is to ensure that every dream on the company’s Christmas tree comes true.
It’s a good idea to start with a smaller number in the first year and, based on interest and success, gradually increase the number in future editions.

Can we choose the number of baubles we want to receive?

Yes, each company can independently decide how many baubles they would like to order.
We give companies full flexibility to choose the number of baubles they want to hang on their Christmas tree.
This way, the number of baubles can be adjusted based on the number of employees, team preferences, or the company’s financial capabilities.
We recommend ordering baubles equal to about 20–30% of the number of employees, but the final decision is entirely up to the company.

This approach allows businesses to tailor the campaign to their specific situation.
If a company has a large number of employees and wants to engage more of the team, it can order a greater number of baubles.
On the other hand, smaller companies or those participating for the first time may choose to order fewer baubles to gauge team interest and see how the campaign is received.

We always adapt to the preferences of participating companies and strive to provide the number of baubles that best suits their needs and capabilities.

How long does the campaign last?

The “Christmas Trees Full of Dreams” campaign follows a specific timeline that runs from August to January, with key activities concentrated during the autumn and winter months—especially in December, as Christmas approaches.

The entire campaign officially starts on April 1, 2025, when we open registration for companies and institutions wishing to take part.
At the same time, registration begins for Social Assistance Centers and charitable organizations that submit the names of children whose dreams will be written on the baubles.

In May, the process of creating the handmade baubles begins.
By October, we start distributing these baubles to participating companies, schools, and institutions.

A key date is December 3, 2025—by this day, all gifts must be delivered to us at the Blooming House (Kwitnąca 14, Warsaw).
After this deadline, the gifts are distributed to the children, with deliveries continuing until December 23, 2025.

The campaign officially concludes on January 31, 2026, when we send a detailed report to participating companies and partners, documenting the successful delivery of the gifts to the children in need.

What are the key campaign dates we need to know?

In the “Christmas Trees Full of Dreams” campaign, the key dates are as follows:

  • May 1, 2025:
    Opening of registration for companies, institutions, and schools wishing to participate in the campaign.
    This is when companies can contact the organizers to declare the number of baubles they want to receive and arrange the details of their participation.

  • May – October 2025:
    The period during which we handcraft the baubles containing the children’s dreams.
    During this time, registered companies receive information about bauble delivery schedules and organizational details.

  • October 2025:
    Distribution of baubles to companies, schools, and institutions.
    This is when organizations set up Christmas trees at their premises and hang the baubles for employees to choose from.

  • December 3, 2025:
    The final deadline for delivering wrapped gifts to the Blooming House (Kwitnąca 14, Warsaw).
    It is crucial that gifts arrive by this date to allow time for sorting and delivering them to the children.

  • December 2025:
    The period when organizers distribute the gifts to the families and children participating in the campaign.

  • January 31, 2026:
    The final deadline for us to send the campaign completion report to participating companies and partners.

What does the campaign look like for companies outside of Poland?

The “Christmas Trees Full of Dreams” campaign is also open to companies outside of Poland, and we strive to make the participation process as simple as possible for our international partners.
There are two options available for foreign companies to get involved:

1. Standard option – sending gifts:
Companies can follow the usual process by ordering baubles, fulfilling children’s wishes, and shipping the wrapped gifts to Poland.
However, due to possible delays in international shipments—especially during the busy pre-Christmas season—we recommend an alternative option.

2. Recommended option – financial donations:
Transferring a financial donation is a safer and more efficient choice for companies outside of Poland.
We allocate an agreed number of baubles to the company, and employees or the company itself donate an amount equivalent to approximately 150 PLN per bauble.
With these funds, we purchase the gifts locally in Poland and deliver them to the children on time, avoiding shipping risks.

Each company choosing this support method will receive a detailed report, including documentation, photos, and proof of purchase, ensuring full transparency.
This way, international companies can be confident that their contributions are used effectively and directly help make children’s Christmas dreams come true.

Will we receive any confirmation of the campaign's completion and the delivery of the gifts?

Yes, every company participating in the “Christmas Trees Full of Dreams” campaign will receive a detailed report confirming the delivery of the gifts.
The report includes photographic documentation from the gift distributions and, where possible, written thank-you notes from the centers that took part in the campaign.
We also provide a summary of the number of dreams that were fulfilled.

Reports are sent to participating companies by the end of January 2026.
We want every company that supported our campaign to have full insight into how it was carried out—this also serves as our way of expressing gratitude for your help and support.
Companies are encouraged to share this documentation with their employees or partners, which can serve as an inspiration for continuing to support similar initiatives in the future.

Is there a minimum number of employees who must get involved in the campaign?

No, there is no minimum number of employees required to participate in the “Christmas Trees Full of Dreams” campaign.
The campaign is flexible and adapted to the capabilities of each company, regardless of its size or number of employees.
We give companies full freedom to determine their level of engagement, meaning that even if only a few employees participate, the company is still a full and valued participant in the project.

Thanks to this flexibility, both large corporations and small businesses with limited staff can join the campaign.
Some companies choose just a few baubles, while others aim to involve as many people as possible, sometimes even organizing internal promotional activities to boost engagement.

In the “Christmas Trees Full of Dreams” project, we ask children and their guardians to write letters to Santa Claus.
Based on these letters, we create notes that are attached to the baubles.
This means the baubles carry specific, personal wishes, making it much easier for donors to fulfill a child’s true dream.

Are there any limits on the value of the gifts?

Yes, there is a value limit for gifts, which is set at a maximum of 150 PLN.

The goal is to make the campaign accessible to as many donors as possible, regardless of their financial situation.

The process of collecting children’s wishes is carried out in collaboration with Social Assistance Centers and charitable organizations.

At the beginning, the centers and organizations we partner with reach out to children and their families, asking what their greatest Christmas wish would be.
Each child—or their parent—submits one wish using a special form, and the wish must stay within the 150 PLN value limit.

During this time, we also prepare handmade baubles with the children’s names and descriptions of their wishes.
The baubles are anonymous, meaning they do not contain surnames or any personal data, to protect the children’s privacy.

It is very important that all gifts arrive no later than December 3, 2025, to ensure we have enough time to sort and deliver them before Christmas. Our team of “Santas” must visit nearly 100 centers across the Warsaw Agglomeration, and we are a small team! 🙂

If your company is located outside of Warsaw—or even outside of Poland—you can also send the gifts by courier.
However, for international shipments, we recommend considering financial support instead of physical shipping, to minimize the risk of delays during the busy holiday season.

How can we ensure that our gift meets the child's expectations?

To ensure that the gift you choose is appropriate and meets the child’s expectations, it is crucial to carefully read the information provided on the bauble. Each bauble contains detailed information about the child’s wish — including their age, interests, and preferences. We make every effort to ensure that this information is as accurate as possible to help donors select the right gift. Can we send additional information about the gift along with the package?

Yes, it is possible to include additional information with the gift package, but it should be done appropriately. If you would like to send a greeting card, a short note, or additional information such as instructions for using the gift, please enclose them securely inside the package to prevent them from getting lost during transport.
We suggest that these messages be kept in the spirit of the holidays, avoiding unnecessary personal information or promotional content.
It is important that any contact with the children is conducted through us, to ensure their safety. Therefore, we kindly ask that donors do not include their direct contact details.
The children and their parents are informed that the gifts come from Santa Claus, so if donors wish to sign the card included with the gift, it is best to present themselves as Santa’s Elves.

Can we help with making the baubles?

OF COURSE! The baubles are special because they are handmade, and each one contains a child’s individual wish. Creating baubles together can be a wonderful opportunity for your company to engage in team-building activities while supporting a noble cause.
We are happy to accept help with making the baubles; however, this must be coordinated with us in advance to arrange the details.
Helping with the creation of the baubles is also a great way to become even more involved in the campaign and to promote social awareness within your company.
This opportunity allows employees not only to support children in fulfilling their dreams but also to directly participate in creating something beautiful and meaningful.

3. Logistics and Shipping

What should we do if not all the baubles are taken by employees?

If it happens that not all the baubles are taken by employees, we have several solutions to ensure the successful completion of the campaign. First and foremost, it is important to contact us as soon as possible. We are here to help and will work together with you to find a way to ensure that every bauble is fulfilled. We can assist in organizing additional activities to attract more donors and help fulfill the children’s dreams.

Primarily, if some baubles remain, you might consider encouraging other employees to get involved. Sometimes additional promotion among colleagues can have a positive impact, as some people might not have had the time to engage initially. You can also use internal communication channels to announce that there are still baubles waiting to be “adopted.”

Another option is to organize a local event that could draw more community attention. This could be an open gathering where you invite local residents or partners, for example, in the form of a Christmas event. Of course, you can organize our campaign even if your company is located outside of Warsaw or even outside of Poland. Our initiative is open to everyone, regardless of location. To make it easier for you to participate, we will adapt the campaign process to your needs.

To start, you can organize a bauble collection at your office, and we will assist you in labeling them with children’s wishes. There is also the possibility of delivering the baubles directly to your headquarters (within Poland), which will help engage your employees. After collecting the gifts, you can send them to us, and we will handle their further distribution to the children.

If you are an international company located outside Poland, you can still participate in our campaign. In this case, you can ship the gifts via courier or organize other forms of support, such as financial donations, which will allow us to purchase gifts locally (in this case, you would still receive specific wishes to fulfill, but instead of sending physical gifts, you would make a donation via bank transfer).
This way, you can take part in our campaign while avoiding transportation challenges.

How does the campaign work for companies based outside of Poland?

Do we have to organize the shipping ourselves, or can you assist us with it?

It is also important to note that donors still have a say in what gifts are purchased — by selecting the baubles themselves.

4. Relationship and Communication

Do the children know who the donor is?

In our campaign, the children do not know who their donor is. We keep this a secret to preserve the magic of Christmas.
The children are simply told that their dreams are being fulfilled by “Santa’s Elves.”
This approach is very important to us, as it gives the children a sense of wonder and magic during the holiday season.
When receiving their gifts, the children do not associate them with a specific person or organization, which helps avoid feelings of awkwardness and prevents creating a sense of dependency from an early age.

Can we receive photos from the gift-giving?

Of course! After the campaign concludes, we are happy to share photos from the gift-giving with you. However, due to the need to protect the privacy and image rights of the children, the photos will be general in nature.
